🎯 Purpose
The Departmental Licences screen allows Corporate Administrators to:
Associate installed licences with specific departments
Restrict Departmental Administrator access to their own department’s licences
Ensure users are only assigned to appropriate department licences
View licence details, types, expiry, and errors
🛠️ How to Access
Launch the GGP Applications Launcher
Log in as a Corporate Administrator
Click Users to open User Control Maintenance
Go to
View > Licencesor click the Licences icon
📊 Licence Table Overview
| Column | Description |
|---|---|
| LICENCE | Name of the licence folder |
| TYPE | Licence type: GGP, VIEW, or MAP |
| DEPARTMENT | Department assigned to the licence (blank = global licence) |
| SERIALNO | Serial number (10000 = GGP training licence) |
| USERCOUNT | Max concurrent users |
| EXPIRYDATE | 'N/A', expiry date, or 'Invalid' status |
| VERSION | Copy Control version (e.g. 1.71, Error -nnn, 16 bit) |
⚠️ Licences showing "Error -nnn" or "16 bit only" are not valid for GGP v2.7+.
🔗 Associate a Licence with a Department
Select the licence from the list
Choose the department from the drop-down
Click Associate
✅ Tip: Select the blank entry to clear the association.
🗑️ Remove a Licence
Use Copy Control to de-install the token and remove the folder
In the Departmental Licences screen, select the licence
Click Remove
🧾 If the directory is still present, you’ll be prompted to use Copy Control
👥 If users are still assigned to the licence, a report will list them for reassignment

Click the Licence Details icon to view:
Volume Serial Number
Installation location
Expiry and version status

🧱 Long Folder Names & CopyControl
GGP v2.7+ allows long folder names (e.g.,
Highways and Transportation)CopyControl truncates these to
8.3format (e.g.,HIGHWA~1)To avoid confusion, use
8.3naming convention where possible
🧯 Mirrored Disk Environments
If licence validation fails with "wrong disk", the mirrored volume may be causing a serial mismatch.

🔄 Converting Legacy Licences (v2.8 → v2.9)
Upgrading to GGP v2.9 requires converting old CopyControl licences to the GGPWIN.SYS format.
✅ Benefits of Conversion:
Adds VolumeSerialNumber to licence
Fixes misleading conversion messages
Allows use over UNC paths and offline access
